How to configure Outlook 2002/XP for emergency emails


Instructions for creating a filter for Emergency Notification System email messages for Outlook 2002/XP.
This is a standard Outlook 2002/XP screen.





Step 1. Go to the Tools menu and Select “Rules Wizard” as shown below.




Step 2. Verify that Inbox is selected immediately under “Apply changes to this folder:”
Then click the New… button on the left hand side of the Rules Wizard window.





Step 3. Another Rules Wizard window will appear. At the top, choose Start from a blank rule. Then proceed to Step 4.




Step 4. Immediately below Start from a blank rule, choose Check messages when they arrive. Then click the Next > button at the bottom of the window.




Step 5. In the “Which condition(s) do you want to check?” section, scroll down and put a check in the box next to “with specific words in the sender’s address”. (Shown in Step 6.)




Step 6. You will see that “with specific words in the sender’s address” has appeared in the Rule description section. Proceed to Step 7.




Step 7. In the Rule description box, click the underlined “specific words”. This will bring up a “Search Text” window.




Step 8. Type ens@mail.ncifcrf.gov in the space below “Specify a word or phrase to search for in the sender’s address:” Then Click the Add button on the right hand side of the “Search Text” window.




Step 9. Type ens@ncifcrf.gov in the same space where you typed ens@mail.ncifcrf.gov in Step 8. Then click the Add button.




Step 10. You should have “ens@mail.ncifcrf.gov or ens@ncifcrf.gov” in the “Search list:” section.
Click the OK button at the bottom of the “Search Text” window.





Step 11. The search text you entered above should now appear in the Rule Description section as shown below. Click the “Next >” button at the bottom of the Rules Wizard window to continue.




Step 12. In the “What do you want to do with this message?” section, put a check in the box next to the “notify me using a specific message” line




Step 13. In the “Rule Description” section click the words a specific message.




Step 13a. A “Notification Message” window should appear. In the space provided type “EMERGENCY NOTIFICATION SYSTEM MESSAGE !!!”




Step 14. After typing the text it should appear as below. Click the OK button to proceed.




Step 15. Back in the “What do you want to do with this message?” section, put a check in the box next to the “play a sound” line.




Step 16. In the Rule Description section click the words a sound.




Step 17. A Select a Sound to Play and the window will appear. Use the pull-down menu at the top, next to Look in: to browse to windows sounds. Click the Open button in the lower right hand corner of the Select a Sound to Play window when you have chosen your sound.

Use this window to browse to an appropriate sound.


Standard sound files can be found by browsing to C:\windows\media for Win ’98 and XP and to C:\winnt\media for Windows 2000.


To hear the sound you can right click the name of the sound and choose Play with Media Player.

This should launch Media Player and play the sound. Don’t forget to check your volume before trying the sound.



Step 18. The uppermost Rules Wizard window should now appear similar to the one shown below. (with only the sound name possibly being different).
Click the Next button at the bottom of the Rules Wizard window to proceed.





Step 19. You should now see the Rules Wizard window with “Add any exceptions (if necessary):” at the top. No changes need to be made on this page. Click the Next button at the bottom of the page to continue.




Step 20. Type “ENS Rule” in the space below Please specify a name for this rule: Click the Finish button after typing.




Step 21. You should now be back to the original Rules Wizard window where the rule you just created should appear in the “Apply rules in the following order:” section. If your new rule appears correctly, click the OK button at the bottom of the Rules Wizard to complete the Rule.




Congratulations! You have successfully created a rule for ENS emails.
